Important property notifications from Whale
When setting up a property in Whale Admin, you’ll provide a notification email address. It’s important to make sure you review and action on any emails received from notify@gowhale.com to avoid move-in and move-out delays.
Adding notify@gowhale.com to your safe-sender list will ensure important emails are never missed.
Here are the different notifications Whale sends properties:
Missing deposits for upcoming move-in
3-days before a renter’s lease start date, Whale sends a notification to the property if they have not yet funded their Whale deposit. Please reach out to these tenants to make sure they know they need to use Whale to complete their deposit requirement.
See "What if the renter has not received their deposit request?" if a renter says they haven't received the request.
Overdue deposits
Every Monday, Whale sends a list of renters with security deposits more than 7 days overdue (based on their lease start date).
If these renters have already moved in, please let them know they’re out of compliance with their lease and need to complete their deposit request ASAP.
If they are no longer moving in, please cancel the lease so Whale knows to stop requesting the deposit. You can also cancel the deposit in Whale Admin.
Missing screening decision
If a renter has all the information required for a deposit request to be sent and the request should be sent based on the property’s configuration, but there is not yet a screening decision for the renter, Whale will notify the property.
Please run the screening process for the applicant or let Whale know if they are a standard or conditional approval. The deposit request cannot be sent until Whale has this information.
Move-out reminder
3 days before the state deadline to return the deposit, Whale notifies the property if the financial move-out has not been completed yet. Please inspect the unit and finalize the FMO statement so Whale can unlock the deposit before the deadline.
Move-out charge payment complete
For all integrations except Yardi, Whale will send a notification email as soon as move-out charges deducted from the renter arrive in your bank account.
When you receive this notification, you need to apply the payments for each renter to their ledger so it reflects this payment. See "Receiving payment for move-out charges" for more information.
Chose guarantor (Whale Deposit canceled)
If the property has enabled the Offer Guarantor as Deposit Replacement feature, Whale will notify the property whenever a renter opts to use a guarantor instead of paying a deposit.
The property must then work with the renter to confirm a guarantor.
Deposit reversed
After Whale has confirmed the deposit, it’s possible for the funds to be reversed by their financial institution (e.g. Returned ACH or Chargeback). This happens rarely and only in cases where the renter claims the transaction was fraudulent or not approved.
When this happens, Whale immediately notifies the property and then actively seeks to recollect the funds. This notification is to make you aware that the tenant is now missing their deposit and is out of compliance with their lease. Please help emphasize to them the importance of working with Whale.
Flip transfer request
Every Monday, Whale sends an email to each property requesting the deposits for all residents who have opened Whale accounts in the past week.
The email includes the total transfer amount, a reference #, and resident details (name, email, unit, and deposit amount).
Flip transfer reminder
Whale will send two reminder emails to the property to complete the transfer of funds to Whale for previous requested flip transfers. When you receive the request, please send the funds ASAP so we can secure the deposits in the renters’ Whale accounts.
