What happens when the lease changes

For PMS integrations, Whale continuously syncs the latest lease information from your property management system. Here's how Whale handles changes to information relevant to deposits:

Renter's email address changes

If the renter's email address changes, Whale will update the renter's email address to reflect what's in the PMS as long as they haven't already opened their Whale account.

Primary resident on lease changes

If the original primary resident on the lease has already opened their Whale account, Whale will not make any changes.

If the original primary resident on the lease has not already opened their Whale account and there is a new primary resident, Whale will update the deposit invite to the new primary resident and send them the deposit request.

Unit changes

If the unit changes, Whale will automatically update the unit associated with the Whale deposit(s) and notify the renter.

Monthly rent changes

If the deposit has not yet been collected, Whale will automatically update the deposit amount to reflect the appropriate deposit amount based on their new approval status and notify the renter.

If the deposit has already been collected and the new monthly rent would require additional funds to be collected, Whale will only request the additional deposit due if Auto-Collect Increased Deposits is enabled.

If the deposit has already been collected and the new monthly rent would mean less security should be held, Whale will take no action unless the current deposit held exceeds the legal limit in which case the property will be notified to confirm part of the deposit should be unlocked for the renter.

Application approval status changes

If the deposit has not yet been collected, Whale will automatically update the deposit amount to reflect the appropriate deposit amount based on their new approval status and notify the renter.

If an approved applicant is later denied, Whale will not automatically cancel the deposit request.

Lease status changes

  • Lease canceled: Whale automatically cancels all deposit requests not yet collected. For deposits collected, we'll wait for the financial move-out to be completed before releasing.
  • Lease re-activated after being canceled: Whale will re-activate previously canceled deposits.
