Updating a resident's ledger in Yardi when transferring a deposit to Whale

Below are instructions for how to remove the security deposit charge from a resident's ledger in Yardi and then add a charge to show those funds are being transferred to Whale. This should be done before sending the funds to Whale.

Part I: Remove deposit from the resident's ledger

In Yardi, create a Quick Charge with the following:

  • Charge code: Your security deposit charge code (e.g., SecDep)
  • Amount: Enter the tenant's current security deposit as a negative number  (you can find the deposit amount under the Deposit Info tab → Deposit field.)

This negative charge reduces the balance in the Tenant Security Deposit GL account, reflecting that the deposit is no longer held by your company — it's being moved to Whale.

Part II: Add transfer to Whale to the resident's ledger

Create a second Quick Charge with the following:

  • Charge code: (e.g., Whale SD Transfer )
  • Amount: Enter the tenant's current security deposit as a positive number (same amount as Part 1), this charge does two things:
    • Zeroes out the ledger — the positive amount offsets the negative charge from Part 1, resulting in a $0 net impact on the tenant's ledger.
    • This decreases the balance (in your current account), reflecting that the funds are no longer held in that account and have been transferred to Whale.

Part III: Create a zero-dollar receipt

Create a Zero Dollar Receipt to offset the two quick charges from Part 1 and Part 2 against each other:

  • Apply the negative SecDep charge
  • Apply the positive Whale SD Transfer charge

This updates the Deposit Info tab → Deposit field to $0, confirming the deposit has been successfully transferred ("flipped") to Whale.

Part IV: Transfer the funds to Whale

Send the funds to Whale following the instructions in the flip request email.

Example

John Doe had a $3695 traditional security deposit. We would create a -$3695 "SecDep" Quick Charge and then a $3695 "Whale SD Transfer" Quick Charge. After this we would create a zero dollar receipt, offsetting the SecDep charge with the Whale SD Transfer charge, and the process would be complete on the Yardi side.
